Gaillard Tech Services (“GTS,” “we,” “us,” or “our”) is a sole proprietorship owned and operated by Grey Gaillard in Saraland, Alabama. We provide three services, web development, app development, and tech services, to businesses, churches, schools, and nonprofits along the Alabama Gulf Coast. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to our website at https://gaillardts.com, our client portal at https://gaillardts.com/clients, and the services we provide to clients.

Information you give us

Contact and project inquiries. When you use the contact form or the new-website questionnaire on our site, we collect what you enter, such as your name, email address, organization, and the details you share about your project. Form submissions are stored on our website so we can respond and refer back to them while we work together.

Client portal account. If you become a client, you will be invited to create an account in our client portal. The portal collects your name, email address, and a password you choose, along with an optional phone number. Your password is managed by the portal provider (see “Service providers we rely on” below); we never see it.

Billing information. To invoice you we keep your name, email address, phone number, billing address, and a record of the products and services you have purchased, along with your invoice and payment history. When you pay an invoice online, your card details are entered directly into a secure form provided by Stripe, our payment processor. We do not receive or store your full card number. If you pay by check or a payment app, we keep the record of that payment for our accounting.

Domain registrations. If you register a domain through us, the registrar requires registrant contact details (name, organization, mailing address, email, and phone) and we pass along the details you ask us to use. Registrars and ICANN may publish or verify some of this information under their own policies.

Materials for your project. During a project you may give us content (text, images, video, documents), brand assets, and access to accounts or systems needed to do the work (for example, your hosting, domain, social media, app store, or analytics accounts). We use these only to perform the work you have engaged us for, keep them confidential, and recommend you change any shared passwords when a project ends.

Communications. We keep emails, text messages, call notes, and portal messages exchanged with you as part of our records of the work.

Information collected automatically

Analytics. Our website uses Google Analytics (through the MonsterInsights plugin) to understand how visitors use the site: pages viewed, time on page, referring site, browser and device type, and approximate location derived from your IP address. Google sets cookies to do this. You can opt out with the Google Analytics opt-out browser add-on or by blocking cookies in your browser.

Server and security logs. Our hosting provider records standard technical information such as IP address, browser user agent, and the pages requested, which is used for security, troubleshooting, and spam prevention.

Cookies. Beyond analytics cookies, the client portal sets cookies that keep you logged in and remember your preferences (for example, “Remember me”), and our site may set temporary cookies needed for forms and caching to work. You can clear or block cookies in your browser settings, but some parts of the client portal will not work without them.

We do not use advertising cookies and we do not sell or rent personal information to anyone.

How we use information

We use the information above to respond to inquiries and estimate projects; to design, build, host, and support your website or app; to create and manage your client portal account; to send invoices, process payments, and keep accounting records; to register and renew domains and hosting on your behalf; to send you service messages about your project, account, or renewals; to keep our site and portal secure and free of spam; to improve our website and services; and to comply with legal, tax, and accounting obligations.

We may occasionally email past and current clients about new services or updates from GTS. You can ask us to stop at any time by replying to the message or emailing grey@gaillardts.com.

Service providers we rely on

We share information only with the providers we need to run the business and deliver your services. Each handles your data under its own privacy policy:

  • WPMU DEV (Incsub, LLC) hosts our website and many client sites, powers the client portal, generates and delivers our invoices, manages domain registrations we place for clients, and stores site backups. Client portal accounts and billing records live on WPMU DEV’s systems in the United States.
  • Stripe, Inc. processes card payments made through the client portal. Stripe receives your card details and billing address directly.
  • Google LLC provides Google Analytics for our website. When a project uses Google services (for example, Google Workspace email, Firebase, or Google Play), Google’s terms apply to those services.
  • Domain registrars receive registrant details for domains registered through our domain service.
  • Email and messaging providers deliver our email and keep delivery logs, which may include copies of messages we send you.
  • Spreadshirt runs our merchandise shop. Orders placed there are collected, processed, and shipped by Spreadshirt under its own privacy policy; we do not receive your payment details from those orders.
  • Apple and Google app stores and similar platforms receive information required to publish apps we build, usually under accounts you own.

We may also disclose information if required by law or legal process, to protect the rights, property, or safety of GTS, our clients, or others, or as part of a sale or transfer of the business.

Data on client websites and apps

When we build, host, or maintain a website or app for you, we may have access to data your own users or customers submit to it (for example, contact form entries, bookings, member accounts, or orders). That data belongs to you. We access it only as needed to do the work you have asked for, we do not use it for our own purposes, and we follow your instructions about it. You are responsible for your own privacy policy and legal obligations toward your users.

How long we keep information

We keep inquiry and form submissions for as long as we may need them to follow up or serve you, and we periodically delete old ones. Client records, invoices, and payment history are kept for as long as you are a client and afterward for the period required for tax and accounting purposes. Client portal accounts remain until you or we close them. Project files and shared credentials are kept while we are actively working with you; we recommend you revoke shared access when a project ends. You can ask us to delete information sooner (see “Your choices” below), and we will do so unless we are required to keep it.

Your choices and rights

You can ask us at any time to see the personal information we hold about you, correct it, or delete it; to close your client portal account; or to stop marketing emails. Email grey@gaillardts.com and we will respond within a reasonable time. Some requests may be limited where we must keep records for legal, tax, security, or accounting reasons, or where deleting information would prevent us from finishing work you have engaged us for.

Security

We use reasonable safeguards to protect your information, including HTTPS encryption on our site and portal, reputable hosting with regular backups, and limited access to client credentials. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Children

Our website, portal, and services are intended for adults and organizations, not for children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

Links to other sites

Our site links to other websites, including client sites in our portfolio, our merchandise shop, and third-party services. We are not responsible for their content or privacy practices.

Changes to this policy

We may update this policy from time to time. The “Last updated” date at the top shows when it last changed. Significant changes will be posted on this page, and continued use of our site, portal, or services after a change means you accept the updated policy.
